This policy explains what personal information is collected, why, how it is used and the rights that apply to it. Collection Seven Ltd is a company registered in England and Wales under number 14416350, with its registered office at 71 to 75 Shelton Street, London WC2H 9JQ, and is the data controller for the purposes of the UK General Data Protection Regulation and the Data Protection Act 2018.

How information is used

To process and deliver orders, including sharing delivery details with the workshop, couriers and white glove delivery partners.

To respond to enquiries, prepare quotations and tear sheets, and manage trade accounts.

To arrange showroom visits and follow up afterwards.

To send marketing emails about new pieces, the showroom, lead times and events, where consent has been given or where there is an existing customer or trade relationship. Every marketing email includes an unsubscribe link.

To keep accounts, comply with tax and legal obligations, and protect against fraud.

To understand how the website is used so that it can be improved.

Legal basis

Personal information is processed where it is necessary to perform a contract (fulfilling an order), where Collection Seven has a legitimate interest (responding to enquiries, keeping in touch with trade clients, improving the website, preventing fraud), where consent has been given (newsletter sign up, non essential cookies), or where there is a legal obligation (accounting and tax records).

Who information is shared with

Collection Seven does not sell personal information. Information is shared only with the service providers needed to run the business, each of which processes it under contract and only on Collection Seven's instructions. These currently include Shopify (website and order processing), Shopify Payments and other payment providers, Klaviyo (email marketing), Xero (accounting and invoicing), Google Workspace (email and document storage), delivery and logistics partners, and the London workshop that builds each piece. Information may also be shared with professional advisers, or where required by law.

International transfers

Some service providers are based outside the United Kingdom, including in the United States. Where personal information is transferred outside the UK it is protected by appropriate safeguards, such as the UK International Data Transfer Agreement or adequacy regulations.

Cookies

The website uses cookies to make it work, to remember preferences and cart contents, to measure how the site is used and, with consent, to support marketing. Essential cookies cannot be switched off. Analytics and marketing cookies can be accepted or declined through the cookie banner, and settings can be changed at any time in the browser. See the Cookie Policy for details.

How long information is kept

Order and accounting records are kept for seven years to meet legal requirements. Enquiry and trade account records are kept for as long as there is an active relationship and for a reasonable period afterwards. Marketing data is kept until consent is withdrawn or the address becomes inactive. Website analytics data is kept in aggregated form.

Security

Personal information is held on secure systems with access limited to those who need it. Payment card details are handled entirely by the payment provider and never pass through Collection Seven's own systems.

Rights

Everyone has the right to ask for a copy of the personal information Collection Seven holds about them, to have it corrected or deleted, to object to or restrict its use, to withdraw consent at any time, and to receive it in a portable format. To exercise any of these rights, email enquiries@collectionseven.store. Requests are answered within one month. Anyone who is unhappy with how their information has been handled can complain to the Information Commissioner's Office at ico.org.uk.

Children

The website and services are intended for adults. Collection Seven does not knowingly collect information from anyone under 18.

Changes to this policy

This policy may be updated from time to time, and significant changes will be announced on the website.
